Patient Web/App Appointment Booking

Workflow for Patients to Schedule Themselves for a Virtual Appointment

From the Patient’s home screen in the app on their phone or web browser:

  1. Select “Get Care” (on the bottom of app, left side for web browser)

  2. Select “Virtual” at the top of the screen

  3. Select which Virtual Specialty

  4. Select who the appointment is for

  5. Select a reason for the visit

  6. Patient will select a date and time

  7. Patient will need to upload a photo of their passport or ID

  8. Patient will be asked if they would like to use insurance or pay with credit card

  9. Patient will be asked to review and sign the privacy notice and consent to treatment

  10. Patient will confirm the appointment

  11. Patients will answer questions about their chief complaint

Workflow for Patients to Schedule Themselves for an In Person Appointment

From the Patient’s home screen in the app on their phone or web browser:

  1. Select “Get Care” (on the bottom of app, left side for web browser)

  2. Select “On-Site” at the top of the screen

  3. Select which On-Site Specialty

  4. Select who the appointment is for

  5. Select a reason for the visit

  6. Patient will select a date and time

  7. Patient will be asked if they would like to use insurance or pay with credit card

  8. Patient will be asked to review and sign the privacy notice and consent to treatment

  9. Patient will confirm the appointment

  10. Patients will answer questions about their chief complaint

Staff Booking Appointments for Patients

Via Schedule Tab

  1. Select “Add Visit” (in the top right of app)

  2. Select Care Site Visit (for in-person appointment) or Virtual Visit (for virtual appointment)

  3. Search for the Patient by Name/MRN/Phone Number/Email or Create New Patient

  4. Select which Specialty

  5. Select a reason for the visit

  6. Select a date and time

  7. Once that information is provided, the slots will populate under the calendar view if there are appointment slots available for this type of appointment reason. Select the time slot that works best for the patient and click “Book Appointment.”

  8. Click “Confirm & Book” to schedule the appointment for the patient

Staff can verify the appointment was successfully booked by viewing the Cases tab and checking for an appointment card and case. Tip: You can sort by 'DOS' on the right side of Cases

Via Patients Tab

  1. In the patient's primary page of their chart, click the “Schedule Appointment” button

  2. Select Care Site Visit (for in-person appointment) or Virtual Visit (for virtual appointment)

  3. Select Location (if booking Care Site Visit)

  4. Select which Specialty

  5. Select a reason for the visit

  6. Select a date and time

  7. Once that information is provided, the slots will populate under the calendar view if there are appointment slots available for this type of appointment reason. Select the time slot that works best for the patient and click “Book Appointment.”

  8. Click “Confirm & Book” to schedule the appointment for the patient

Staff can verify the appointment was successfully booked by viewing the Cases tab and checking for an appointment card and case. Tip: You can sort by 'DOS' on the right side of Cases

To prompt the patient to schedule a visit 

In the patient’s case, click the message bubble icon in the top right hand corner of the page.

Select the + sign in the bottom left hand corner of the chat and select “Suggest an Appointment”. This will send a message to the patient with a link to schedule an on-site appointment.

Select the + sign in the bottom left hand corner of the chat and select “Suggest a Video Appointment”. This will send a message to the patient with a link to schedule an video appointment.

No-Show or Cancellations

Patients will be notified that they were a no-show via email.
Patients will be notified that their appointment was cancelled via email.
They can book a new appointment via patient website or patient app.

Duplicate Appointments

The patient app prevents patients from booking a duplicate appointment for the same day, specialty, and appointment reason.

If a duplicate appointment is created, it can be canceled in the patient’s account. Be sure to confirm that the appointment is indeed a duplicate before canceling, as this cannot be undone.
